Importance of Employees Having Complete Profiles on HRMS

Employee Network Data Professional networking sites like LinkedIn or social networking sites such as Facebook or MySpace always persuade their users to fill in complete information. So much so, most of them have a “Profile Completeness” status bar. For such websites, completed profiles enable growth and interaction amongst the users as well as there is a data bank which can be monetized. When it comes to employees filling up their personal data in the HR management system, the same kind of benefits appear albeit with a different outcome for the employers. Here too, both the sides (employers and employees) are the beneficiaries.

For an organization, especially in startups and SMEs, communication is very important. Seth Godin, the famed entrepreneur and author once said, “The less people know, the more they yell.” So for the employees to have information about other employees, especially from other departments, it becomes imperative to have basic yet critical information listed somewhere. In sumHR, we have intuitively weaved the profile page with another interesting feature called as Company Directory. It enables easy access of basic information such as full name, telephone numbers, and birthdays. This always helps when you quickly want information

For example, our marketing team’s digital specialist had to urgently coordinate with the internal HR for a recruitment campaign. All he had to do is go on sumHR, access the Company Directory and then call him on the number listed. If a scenario arises wherein the internal HR executive cannot land up at office, all the digital specialist has to do is check his home phone number on the HRMS and call him up without going through the hassle of asking the HR or someone else from that team. There are various other scenarios where having basic information about the employees easily accessible is useful. And the best way to fill all this is asking the employee to take out just 15 mins and fill up the form!

Data Analysis

Another aspect where any kind of information becomes valuable is when it is used as data for analysis. In sumHR, our programmers went through many scenarios before incorporating the fields in the profile page. Not only that, as of now they are furiously tapping away their keyboards and coding a new feature that will enable you to view employee data visually and also export that data. There has been a tremendous growth in analytics and related software. Using employee data you can use demographical information to make important decisions. And why stop at that, data can even be used to decide celebration days and policies using the information about birthdates and hire dates. All this is only possible when that data is available, and that can only happen when employees completely share and fill all relevant details in their profile pages.

Of course, on the flip side it is necessary to take care what kind of employee information is necessary to be shared and what is not. But certain basic information is required for effective communication in an organization. So, if you are an employer, make sure you it is mandatory to fill the employee profile page on your HRMS.
